Case Study: How Our RFP Team Made Magic Happen

THE CUSTOMER:
Spaulding for Children’s National Training and Development Curriculum (NTDC) is a newly developed, comprehensive, free training program designed to prepare and empower foster and adoptive parents.
This curriculum integrates technology, multimedia resources, and adult learning principles to provide parents with the knowledge and skills needed for successful fostering and adoption. Originally developed for those pursuing foster care or adoption through the public Child Welfare system, it has been adapted to meet the needs of families adopting through private domestic or intercountry processes.
OUR CHALLENGE:
In April, we received a Request for Proposals (RFP) from Spaulding for Children for a Spanish translation project for the National Training and Development Curriculum for Foster and Adoptive Parents (NTDC).
The selection process involved evaluating quotes, demonstrating the ability to meet the translation deadlines, and showcasing relevant experience with similar projects. Since the RFP encompassed a significant volume of materials with varying levels of complexity, our first step was to prioritize this request to ensure our participation in the project.
After carefully analyzing the requirements, we confirmed that we met all the specified criteria, prompting us to proceed with the bidding process. The main challenge we faced was the tight timeline —less than a month— to prepare our proposal. Given the extensive number of items that needed to be detailed, we focused on thoroughly highlighting our experience to distinguish our submission from the others.
OUR PROCESS:
In this situation, the first step was to get our production team involved. We shared the request from the client for them to evaluate the content, assess the project’s feasibility and provide costs and timeframes. This entailed a considerable challenge for our team, since there was little time to perform the evaluation before the bid was due.
Meanwhile, the RFP team focused on preparing a written proposal that met all the formal requirements. This way, we ensured that we highlighted our vast experience in similar projects and included samples to support these claims.
Thanks to our different teams’ coordination, willingness, and collective efforts, we managed to submit our proposal on time, and a few days later, we received the news that we had been selected for this project. Given the scope and size of the task, we currently have a team of three project managers, two reviewers and three designers from our in-house team dedicated to this project, which is scheduled to be delivered by the end of September.
We are very happy to have won this bid, an achievement that was only possible thanks to the joint dedication of the entire Idea Translations team. Their collaboration was crucial to achieving this success, and this project reflects the commitment and dedication that characterizes our team.
